The following instructions help in looking up or creating a new SSID, and attaching a SELA record to identify students EL Status.
Students needing initial ELPAC testing will require a TBD SELA record in order to synch with TOMS testing site.
Find/Create SSID in CALPADS
- Click Online Maintenance>Request SSID
- Under the Search by Demographics/Request SSID tab, make sure the Request SSID header is highlighted
- Enter all available demographic information for the student
- Click Search
- If CALPADS finds matching records, it will be noted along the top of the screen and possible matches are listed at the bottom of the screen
If you determine one of the matched results is valid, follow this:
- Click the button with the name of the student to open the record
- Take note of the ten-digit SSID
- In the Student Enrollment section, click the ADD NEW RECORD button
- Enter the following information
- School of Attendance
- Local Student ID (Student Number from Powerschool)
- Grade Level
- Enrollment Start Date
- Click the Post button
If you determine NONE of the results are a match or CALPADS fails to make a match:
- Click the create a new SSID link
- Click Yes on the pop-up warning to proceed
- Enter the following information:
- School of Attendance
- Local Student ID (Student Number from Powerschool)
- Birth City
- Grade Level
- Enrollment Start Date
- Click the Post button
- Once the submission has posted:
- Click Online Maintenance>Student Data
- Click the Search by Demographics/Request SSID tab, make sure the Student Lookup header is highlighted
- Enter demographic information
- Click the Search button
- The record will show up at the bottom of the page
- Take note of the SSID
Enter SSID In Powerschool
- Lookup the student record
- Click the State/Province - CA link on the left-side menu
- Click the Student Information link
- Enter the SSID you noted earlier in the field for Statewide Student Identifier field
- Click Submit
Update SELA in CALPADS
- Lookup student in CALPADS using the SSID
- Click the Student English Language Acquisition section
- Click the ADD NEW RECORD button
- Enter the following:
- Student English Language Acquisition Start Date
- If school has not yet started
- Enter an SENR record with July 1 start/end date and Student Exit Reason of NoShow-N470
- Use the July 1 date as the SELA Start Date
- If school has started, use the enrollment start date
- Student English Language Acquisition Start Date
- Student English Language Acquisition Code (TBD-To Be Determined for record to show on TOMS for initial ELPAC testing)
- Primary Language Code (select the new three letter code)
- Click Post
- EL status should also be updated in Powerschool
- Click State/Province - CA>ELA Status/Program History
- Create a New record with information as entered in CALPADS
