Import K8 Homeroom Schedules

IMPORTANT: All K8 Home Room Scheduling and Teacher Mapping must be completed before importing next year Homeroom Schedules.

 

Full year term must be setup for each individual school with proper start and end dates and Import File #, (see sample below). If school calendar is not yet set up, at least one day must be added as in session.

 

 

The following must be performed for each individual school.

Select a school and year term on the upper right corner in Powerschool.

 

(To Supress Views on the Family Portal check the box to Suppress Classes For This Term)

 

Download data files

  1. Click System Reports
  2. Click the AUSD Tab
  3. Under Scheduling click K8 Home Room Teacher Mapping
  4. Click the Download Homeroom Export File button to save the section data
  5. Click the Download Student Export File button to save the student schedule data

 

Import Sections

  1. Click Special Functions
  2. Click Importing & Exporting
  3. Click Quick Import
  4. Select Sections (Master Schedule)
  5. Browse to the Homeroom Export File downloaded earlier
  6. Click Import
  7. Verify all fields are mapped correctly
  8. Check the Check to exclude first row
  9. Click Submit

 

Import Student Schedules

  1. Click Special Functions
  2. Click Importing & Exporting
  3. Click Quick Import
  4. Select Student Schedules
  5. Browse to the Student Export File downloaded earlier
  6. Click Import
  7. Verify all fields are mapped correctly (Schoolid does not need to be mapped)
  8. Check the Check to exclude first row
  9. Click Submit

 

Reset Class Counts (*not always necessary*)

When importing schedule, there are times class counts are not updated on the Teacher Schedules page. You can run the following steps to reset class counts to the proper totals.

  1. Click System
  2. Click Special Operations
  3. Select Reset Class Counts for the Operation (Param 1, Param 2, Code to be left blank)
  4. Click Submit
